This notice is deliberately short. A fuller version is with our reviewers and will replace it.

An earlier version of this page described some things inaccurately. We would rather publish less and have all of it be true. Everything below is accurate as at 23 August 2026.

Who we are

LifeSpacer is run as a sole trader business by Edward James Manners, in the United Kingdom. We are the data controller for the information described here.

What we collect

  • Your account: email address, the display name and avatar colour you choose, which family group you belong to and your role in it.
  • How you sign in: you can set a password, or sign in with your Google account. Sign-in is handled by our platform provider, Base44.
  • What you put in: calendar events (titles, dates, times, locations, notes, and who each one is for), tasks, checklists, shopping lists, documents you upload, and family member records — including, for children added without an account, their display name, school and year group.
  • What you import: calendar feeds you link, school term dates you search for, and text or photographs you give us to pull dates out of.
  • Automatically: your settings, your subscription tier and payment identifiers from Stripe, notification records, and technical logs including IP address, device type and timestamps.

We never see or store your card number. Stripe handles payments directly.

Where artificial intelligence is involved

Some features send information you choose to submit to an AI provider so it can give you an answer:

  • Scanning an image or PDF for dates sends the submitted file to the service that extracts dates, together with any hint you provide. The file is not saved to LifeSpacer's storage.
  • Pasting an email for event extraction sends the email text you paste so the service can identify and extract an event.
  • The in-app assistant sends your family members' display names and relevant family information needed for the request, including upcoming events for the next 45 days, active automation rules, shopping-list items and active shared tasks.
  • Drafting an email reply sends the event details, any email subject associated with the event, your family member display name and any extra instructions you provide so a draft can be generated.
  • Searching or importing school dates can send the school name or town you search for, or text/files you choose to submit for extraction. School-date sorting by year group and team is only run when you explicitly start the sorting tool.

These requests use Base44's AI integration for the relevant features. Some processing may be routed to OpenAI, Anthropic or Google depending on the feature and configuration. We do not rely on this notice to make a provider-specific statement about model training until the applicable provider terms and our configuration have been confirmed.

Voice input first uses your browser's speech-recognition capability to turn speech into text. If you then submit that text to the LifeSpacer assistant, the resulting text is processed as described above.

These AI features are optional. You can add and manage information by hand instead.

Who else your data reaches

Base44 (part of the Wix group) runs the app — hosting, database, sign-in, file storage and email. Stripe handles payment and subscriptions. Between them, your data is processed in the United States and Israel.

We do not sell or rent your data, we do not show you adverts, and we do not use analytics or tracking pixels.

Children

You must be 13 or over to hold an account. Before continuing, we ask you to confirm this. If you are under 18, we also ask you to confirm that you have permission from a parent or guardian to use LifeSpacer.

Adults can add other family members — including children under 13 — without an account. Those children have no login, and their details are visible only inside that family group.

Please use a nickname or a first name. We do not need a child's full name for the app to work.

When an adult adds a child or another family member, we encourage the adult to explain what information has been added and who can see it. Information about a child should be kept to what is reasonably needed for the family service.

If you are under 18 and want a copy of your data, or want it deleted, email us. Children's rights are their own; depending on the circumstances, we may involve a parent or guardian where appropriate.

How long we keep it, and what deletion does

Your data is kept while your account is open.

If you delete your account and other adults with their own accounts remain in your family, we delete your profile, your settings and your responses; the shared family space stays with them. If you are the last account-holder, we delete the entire family space — including the records of everyone added without an account.

Images and PDFs you submit to the date-scanning feature are not saved to LifeSpacer's object storage. They are held temporarily for the scan request and sent to the service that reads the dates. The LifeSpacer application does not retain the submitted file after the scan workflow completes.

Files you do keep — profile photos and documents — are stored where we can delete them. They sit in our own storage in the UK or the EU, are never publicly reachable, and are opened only through links that expire within minutes. Removing a photo or a document removes the file itself, not just the reference to it, and deleting your account deletes every file your family uploaded. Files that no longer belong to anything are swept and deleted automatically.

One exception, from before we made that change. A small number of photographs uploaded in LifeSpacer's earliest weeks were written to our platform provider's storage, which gives us no way to delete files. We keep a register of every one so they can be removed the moment that becomes possible, and we will ask our provider to remove them on request. If this affects you, email us and we will tell you exactly what is held.

Accounting and payment records are retained for as long as reasonably necessary to meet tax, accounting and legal obligations.

Your rights

You can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or withdraw your consent. Email emjclifespacer@lifespacer.com and we will reply within one month.

Complaints

Please tell us first — email emjclifespacer@lifespacer.com with "Complaint" in the subject line.

If you are still not satisfied, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint, or by phone on 0303 123 1113. You can go to them without coming to us first.

Changes to this notice

We will replace this page with the reviewed version when it is ready, and change the date shown above.
